This outstanding opportunity involves working closely with our CIO and IT Leadership Team (ITLT), contributing to pioneering projects, and ensuring smooth IT procurement!Key responsibilities:Administrative TasksCalendar & Travel Management: Manage the calendar, internal and external meetings, and travel arrangements for the CIOEvent Coordination: Prioritize and coordinate various IT and IT Leadership Team (ITLT) events throughout the year, and take minutes during ITLT meetingsAd Hoc Support: Provide support for IT projects as neededVendor Creation & ManagementOnboarding: Onboard new vendors in ORO and SAP, ensuring all required documents and compliance checks are completedRecords Management: Maintain and update vendor records to ensure the accuracy and currency of the ORO and ARIBA databaseVendor Communication: Serve as contact for IT Vendor inquiries and issue resolutionAssist in reviewing vendor contracts, working with IT Vendor Management and Procurement teams to support purchase orders and ensure contract alignmentPurchase Order (PO) CreationCoordinate the end-to-end PO lifecycle, from creation to closurePO Preparation: Prepare and issue purchase orders in accordance with procurement guidelinesCollaborator Collaboration: Work with internal collaborators to clarify requirements and ensure alignment with budget constraintsGoods Receipt (GR) & Invoice ManagementIT Liaison: Act as the single point of contact for IT regarding PO status and GR updatesBudget Alignment: Collaborate with IT Controlling to align POs with the current IT budgetCollaboration: Assist in managing goods receipt entries with relevant collaborators, ensuring alignment with purchase ordersInvoice Processing: Review, validate, and process vendor invoices, ensuring accurate documentation and timely approvalsSensitivity: Maintain discretion and confidentiality in handling sensitive informationKey requirements:A-level / high school diploma or commercial apprenticeship4+ years of experience in administrative roles within a Life Science / Pharma or IT environmentSenior management administrative experienceVendor management experienceSolid knowledge of ARIBA, SAP, Office suite (Outlook, Word, Excel, PowerPoint), and collaboration tools (Teams, Mentimeter, Microsoft forms)Excellent organizational and time management skills, flexible, proactive, collaborative & great teammateStrong verbal and written communication skills, able to work in a matrix organizationProven ability to handle confidential information with discretionComfortable in a fast-paced, high-demand environmentProficient in English is required.
