Job description: My client, a not-for-profit organisation based in Blanchardstown, Dublin 15 is seeking an experienced Corporate Services Administrator to join their team. This is a full time, office-based, 6 month fixed term contract.As a Corporate Services Administrator, you will provide a range of support on administrative services with the Corporate Services team and the wider organisation including administration, communications, HR, facilities management and event management.Tasks & Duties

  • Executive & General Administration Support
  • Provide administrative support to the CEO and Corporate Services team, including document preparation, filing, and general office tasks.
  • Draft and proofread communications, statements, and reports; respond to enquiries via phone, email, post, or in person.
  • Coordinate logistics such as travel, accommodation, events, and manage internal/external room bookings.
  • Assist with visitor management, ensuring a professional and welcoming office environment.
  • Communications & Event Administration
  • Provide support to the Executive Officer across all aspects of Corporate Communications.
  • Assist the Corporate Services team with the coordination and promotion of events and launches, including logistics such as catering arrangements and on-site setup.
  • HR Administration
  • Support the Executive Officer in all areas of HR administration, including recruitment coordination, training bookings, and maintaining up-to-date employee records in compliance with GDPR.
  • Manage communications through the recruitment inbox, schedule candidate interviews, and assist with onboarding logistics such as ID cards, business cards, and office key distribution.
  • Maintain and update internal documents including telephone lists, organograms, emergency contact details, and training records.
  • Process and record staff administrative requests, such as holiday and sick leave, and issue documentation like COVID essential working letters as needed.
  • Additional Responsibilities
  • Assist the Executive Officer in all areas of GDPR administration, ensuring sensitive data is managed with confidentiality and in line with best practices.
  • Stay informed on emerging technologies, trends, and IT best practices, and actively engage in relevant training and development opportunities.
  • Represent the Association positively and professionally at all times, exercising discretion and sensitivity, particularly when handling confidential matters.
  • Support additional tasks and responsibilities as required, aligned with the scope and purpose of the role.

Knowledge, Experience & Qualifications

  • Third level degree or sufficient evidence of qualifications relevant to the role.
  • A minimum of 2 years’ experience in a busy office environment and working with various stakeholders.
  • High level of proficiency in MS Office Suite.
  • Experience of minute taking at meetings.
  • Strong ability to plan, organise and prioritise workload and take ownership of duties.
  • Experience in minute taking.
  • Full clean drivers license with access to own vehicle.
  • Experience working in the housing/community/not-for-profit sector is highly desirable.
  • Only candidates currently residing in Ireland with full working rights will be considered for this role.

Expected salary: €35000 – 40000 per year
