The ideal candidate is highly organised, proactive, and capable of handling a wide range of administrative related tasks with discretion and confidentiality.In addition to supporting the Partners, the Executive Assistant will work closely with the Manager of Operations and Chief Operating Officer (COO) to assist with departmental coordination, internal communications, reporting, and project tracking. This includes helping to drive operational efficiency across the Consulting team and ensuring timely follow-up on key actions and deliverables.Key Responsibilities:
- Diary management and meeting scheduling.
- Handle confidential information with a high level of discretion.
- Mailbox management – screen and prioritise emails, and requests.
- Co-ordinate internal and external meetings, including logistics and follow-ups.
- Take minutes in meetings, and track actions during key meetings, ensuring timely follow-up and accountability.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organise comprehensive travel arrangements, both domestic and international travel inclusive of trains, taxis, flights, and accommodation.
- Act as a liaison between Partners and internal/external stakeholders.
- Process monthly expenses.
- Support the Manager of Operations and COO with departmental reporting, project tracking, data entry, and operational initiatives as needed.
- Assist with the planning and delivery of departmental events and initiatives, including logistics, communications, and tracking deliverables.
- Perform ad hoc administrative and operational tasks with accuracy and efficiency, adapting to changing priorities as required.
- Support wider team in an administrative capacity, assisting with tasks such as preparation of documents, scheduling and coordination of meetings and events.
- Perform adhoc administrative tasks in a timely manner as required.
Skills:
- Excellent organisational and time management skills, with the ability to prioritise tasks effectively and manage competing deadlines.
- Strong written and verbal communication abilities, with the ability to draft professional correspondence and communicate clearly across all levels of the organisation.
- Proficiency in Microsoft Office, particularly PowerPoint, Word, Excel, and Outlook; experience with collaboration tools (e.g., Teams, SharePoint) is a plus.
- Proactive and self-motivated, with the ability to work independently and take ownership of responsibilities with minimal supervision.
- Resourceful and solutions-oriented, with strong problem-solving skills and a flexible, can-do attitude.
- Comfortable operating in a fast-paced, dynamic environment, managing shifting priorities while maintaining attention to detail.
- Strong interpersonal skills, with the ability to build effective relationships and collaborate seamlessly with senior leadership, internal teams, and external stakeholders.
- Demonstrates initiative and adaptability, continually seeking ways to improve processes and enhance team efficiency.
