Job description: Executive Assistant (m/f/d)As Executive Assistant, you’ll play a crucial role in supporting our executive leadership team — especially within R&D — by ensuring smooth daily operations and providing administrative, project, and travel support. Your work will help shape the performance and efficiency of key departments within BRP-Rotax.Your new adventure-Executive & Administrative Support:Act as the first point of contact for internal and external stakeholdersManage calendars, coordinate appointments and meetings, and handle correspondencePrepare documents, presentations, meeting minutes, and reportsOrganize high-level meetings, workshops, and eventsRepresent the executive office and ensure smooth day-to-day operations-Travel & Event Management:Oversee and manage all travel arrangements for executives, including bookings and expense reportsAct as key contact for BRP-Rotax travel management (internal travel portal, travel policies, credit cards, vendors like ÖBB, AVIS, Lufthansa, BTU Travel Agency)Coordinate incentive travel programs and ensure compliance with internal guidelines-Ride BRP Program Coordination:Serve as lead contact for BRP’s employee vehicle programCoordinate orders, manage documentation, track vehicle usage, and liaise with our Canadian colleagues and dealersOrganize vehicle sales after program periods and manage associated invoices and reporting-Project & Team Collaboration:Provide project support to the R&D leadership team: scheduling, communication, document management, and follow-upsCollaborate with internal and external stakeholdersAct as a point of contact and backup for the executive secretariat teamYour experiences and skillsSolid experience in a similar executive assistant, office management, or high-level administrative roleExcellent communication and interpersonal skills – especially when handling confidential informationStrong organizational talent and attention to detailProactive mindset with the ability to multitask and adapt in a fast-paced environmentProficiency in MS Office tools (Outlook, Excel, PowerPoint, etc.)Fluency in German and very good command of EnglishWe offerYou will be offered an exciting position in an with many interesting benefits and diverse development opportunities.
