About the jobAs the EA to the CoS, you will play an active role in making sure that our Executive Office is running smoothly and enable high-quality and professional service to our organisation.You will provide essential administrative and operational support to high-level executives in a fast-paced, dynamic environment and be a valued member of the CDA Management team.A core focus will be to enhance the productivity and efficiency of the Chief of Staff by proactively managing administrative tasks, anticipating needs, and implementing highly effective planning and organisational systems.You will also be responsible for the meticulous preparation of meetings, materials, and presentations for the Board of Directors and its Committees, ensuring accuracy, confidentiality, and timely distribution.Key responsibilities:

  • Coordinating the preparation of Board or Committee meetings and distribution of meeting materials, ensuring accuracy and confidentiality and that action items are followed up on
  • Close collaboration with the CoS’ Business Partner
  • Perform practical support tasks
  • Driving and coordinating CDA initiatives and meetings and implementing administrative processes
  • Build a strong internal network across various departments and teams for smooth delivery of tasks and problem solving, navigating organisational processes and gathering information for reports
  • Handling budgets and forecasts as well as basic bookkeeping and budget reporting tasks
  • Ad hoc support of the CoS’ team members

Furthermore, but just as important:

  • E-mail, calendar and expense management for the CoS
  • Proactively preparing the CoS for meetings and recording action minutes
  • Making travel, conference, and event arrangements
  • Ad hoc tasks

About youThe ideal candidate is a seasoned Executive Assistant with a proven track record of excellence in supporting senior executives. You possess a deep-seated ability to proactively anticipate the administrative and operational needs of the Chief of Staff and the Executive Office, consistently operating several steps ahead. You are exceptionally organised, possess impeccable attention to detail, and are an accomplished and professional communicator, skilled at building rapport and effectively engaging with senior-level internal and external stakeholders.You are comfortable with digital tools, finance management and are skilled in interpreting and analysing data such as budgets, invoicing, and expenses.We expect the following from you:

  • Possess a relevant master’s degree or equivalent extensive experience in executive support or business administration
  • Significant and demonstrable experience as an Executive Assistant supporting C-suite executives or Board-level leadership in a complex, global environment
  • Fluent written and spoken proficiency in both Danish and English, with the ability to communicate with clarity, conciseness, and executive-level polish
  • Exceptional organisational and project management skills, with a proven ability to seamlessly manage multiple complex priorities and workflows simultaneously in a high-pressure environment
  • Consistently deliver high-quality results with precision and efficiency, even when faced with ambiguity or demanding deadlines
  • Masterful stakeholder engagement and relationship-building skills across all levels of the organisation and with external partners, demonstrating discretion, diplomacy, and influence
  • Highly proactive and autonomous, with a demonstrated capacity to anticipate needs, solve problems independently, and consistently deliver a high level of professional contribution that significantly enhances executive effectiveness
  • Advanced proficiency across the full Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and extensive experience with relevant online collaboration and communication platforms (e.g., Teams, SharePoint, etc.)
  • Expert ability to strategically plan, organise, and prioritise a demanding workload, effectively managing competing priorities to ensure optimal use of executive time and resources
  • Possess a sophisticated service mindset focused on enabling executive success, coupled with a strong business acumen that allows for informed decision-making and contribution
  • Demonstrated analytical capability to quickly grasp and analyse complex information, particularly related to financial data (budgets, reports) and business operations, to support executive understanding and decision-making
  • A highly collaborative and influential team player with a proven ability to build and maintain strong, trusting relationships across all functions and levels of the organisation.
