Job description: The Gallery is seeking a Stakeholder Engagement Coordinator to join the Audience Development & Stakeholder Engagement Division on a permanent basis. Reporting to the Head of Audience Development & Stakeholder Engagement, the Stakeholder Engagement Coordinator is responsible for supporting the implementation of the Gallery’s Audience Strategy. The Audience Development & Stakeholder Engagement division consists of the Commercial, Communications, Marketing & Digital Engagement (CMDE), Development and Publications & Images departments. The Stakeholder Engagement Coordinator post requires a professional, diligent, organised individual who has a proven ability to manage the administration of multiple institutional communications projects as well as providing administrative support to the Head of Audience Development & Stakeholder Engagement.Areas of Responsibility:

• Complete a broad range of administrative tasks and coordinate institutional communications campaigns for the Head of Audience Development & Stakeholder Engagement
• Regularly update the Gallery’s stakeholders database and update data on the Gallery’s E-tapestry database to ensure all records are accurate and consistent in how information is recorded
• Prepare, draft, edit and distribute written communications to internal and external stakeholders
• Coordinate ongoing communications campaigns using a variety of channels, manage responses and direct queries to Gallery staff where relevant
• Coordinate invitations to events with the Director’s Office and relevant Gallery departments
• Act as a point of contact for all Audience Development & Stakeholder Engagement events
• Schedule appointments and coordinate the Head of Audience Development & Stakeholder Engagement’s diary
• Arrange meetings, tours and refreshments for guests as required
• Provide office administration, including responsibility for incoming and outgoing emails, post, stationery, transport and other orders
• Participate as an adjunct member of the Audience Development & Stakeholder Engagement management team, which involves scheduling and preparing the agenda and minutes
• Research and prioritise queries and cultural policy issues addressed to the Head of Audience Development & Stakeholder Engagement, including those of a sensitive or confidential nature and determine an appropriate course of action, referral or response
• Work closely and effectively with the Head of Audience Development & Stakeholder Engagement and the Director’s Office to ensure they are kept well informed of upcoming commitments and responsibilities
• Treat all matters related to this office with discretion and confidentiality
• Administer tasks and databases to ensure accurate reporting and compliance.
• Liaise with Government Departments, Public Sector Organisations, Embassies Local Authorities and on press-related activities with the Department of Tourism, Culture, Arts, Gaeltacht, Sports and Media (DTCAGSM).
• Oversee record management and file structure for the Audience Development & Stakeholder Engagement division
• Collate and monitor key performance indicators for the Audience Development & Stakeholder Engagement division
• Collate Audience Development & Stakeholder Engagement inputs including the Year in Review, Annual Report, Director’s Report, Strategic Plan and other management reporting
• Be prepared to step in and support the Director’s Office or other ELT members as necessary
• Coordinate travel for the Audience Development & Stakeholder Engagement division as required
• Complete any other duties as directed

The successful candidate will have:

• A relevant third-level qualification (e.g. arts management, communications, journalism, politics)
• Previous work experience in Stakeholder Engagement, Communications or as a Personal Assistant at the executive leadership level
• Excellent written and oral communication skills
• Excellent interpersonal skills and an interest in developing and managing stakeholder relationships
• An ability to work independently and on own initiative whilst being part of a wider team
• Strong administrative skills coupled with an ability to organise and prioritise multiple tasks with excellent attention to detail
• Prioritise conflicting needs and progress matters expeditiously, proactively and follow through on projects to successful completion
• A proactive approach to problem-solving with good decision-making capability
• A proven ability to handle confidential information, be adaptable to various competing demands and demonstrate a high degree of professional service in response to queries
• Good interpersonal skills together with an ability to maintain positive relationships with the all employees, external stakeholders, sponsors and donors
• A professional, diplomatic, discreet manner when dealing with the Gallery’s stakeholders
• Excellent knowledge of all MS Office packages, Email Marketing, TicketSales and CRM systems, such as Mailchimp, TicketSolve and Etapestry
• An interest in the Gallery and the national collection
• A positive approach to working in the Gallery and the ability to deliver an effective and professional service on behalf of the Audience Development & Stakeholder Engagement Division

The salary scale for this position is as follows:€37,544.00 €39,465.00 €40,550.00 €42,667.00 €44,564.00 €46,400.00 €48,229.00 €50,019.00 €51,848.00 €53,670.00 €55,604.00 €56,900.00 €58,748.00¹ €60,610.00²

• The starting salary will be at the first point on the scale, €37,544.00 per annum, or on a higher point of the scale, as appropriate to the successful candidate, if appointed from an existing public sector role (in accordance with Circular 08/2019).

• Candidates should note the National Gallery of Ireland complies with Department of Public Expenditure and Reform regulations and guidelines on Public Service pay and conditions of employment.

Annual Leave:The successful candidate will be entitled to 23 days of annual leave pro rata.Superannuation:The successful candidate will be placed on the public sector pension scheme.Benefits:The Gallery provides staff the opportunity to participate in the tax saver and cycle to work schemes.Duration:PermanentWorking hours: Full time, 5 days a week – 35 hours per week (net of breaks).
