Job description: Job DescriptionPLEASE NOTE: The soonest possible start date is September 1st, 2025.The Technology Risk Management Specialist serves an integral function within the Records and Information Management (RIM) Program and RIM team by ensuring smooth operation of day-to-day activities. You will coordinate and execute back-office and administrative tasks that support planning, execution, and progress of the RIM Program.This position requires strong attention to detail, excellent organizational and communication skills. Excellent proficiency in the use of MS Tools including SharePoint, Teams, Word, Excel and managing lists. Knowledgeable of how databases function is a plus. An experienced records and information management professional or information governance professional expertise is highly welcomed/desirable as topics under this subject would be communicated with internal colleagues. Developing communications that include visual designs to promote policy and procedural information that will capture the attention and engagement of colleagues garnering a greater understanding of the RIM Program.Primary responsibilitiesTraditional administrative duties, including but not limited to coordination of meetings and events, managing SharePoint sites and Microsoft Teams. Knowledgeable of publishing on Viva EngageManage the RIM SharePoint which includes content updates, design, and file organization and storing properly; use of Teams and be responsible for the maintenance of organizational distribution listsCoordination of scheduling quarterly meetings, workshops/focus meetings, and events for the RIM ProgramHosting (and co-hosting) and running quarterly meetings, workshops/focus meetings and eventsUpdating the company Records Retention Schedule (RRS) using MEDS and Veeva. Publishing RRS changes on Viva Engage, Sync, Teams. Communicating updates with internal stakeholdersRespond timely to business stakeholder inquiries including troubleshoot/research information to address stakeholder inquiriesLead contact for Records Liaisons to provide information on the liaisons’ role and responsibilities. Update Liaison Directory and resources supporting Liaisons and stakeholdersRequirementsHigh School Diploma or equivalentAdvanced education or certifications (e.g. AA, BA, BS, Certified Administrative Professional, Certified Records Analyst) is a plusIntermediate level design experience in developing, promoting and publishing corporate communications5 years professional level experience that includes creating and publishing communications across various MS Tools – SharePoint, Teams, Viva Engage5 years professional level with records and information management experience is a plusAbility to work in a busy, fast-paced environment. Advanced computer skills using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, Viva Engage, etc.)Collaborates effectively with and through others to achieve shared goalsDemonstrated ability to execute and improve processes and to drive changeDrive for results – strong planning and organizational skillsAbility to manage assignments, working towards deadlines within a schedule while demonstrating a strong attention to detailDemonstrated strong ability to be innovative by utilizing new or existing technologies and a willingness to learn to incorporate new technologyContinuous improvement mindsetSummarizes project progress, delays, or improvement opportunities.
